Job Description

Terms of Employment:

• W2 Contract, 13 Weeks (Possible Permanent Conversion)

• This position is 100% onsite in Towson, MD (21204)

Overview & Responsibilities:

Under the direct supervision of the Office Manager, the Administrative Assistant plays a critical role in ensuring the smooth operation of a busy, high-volume cardiology office with 6–8 Providers. This is a back-office role within a call center environment, where the primary responsibility is managing procedure scheduling and administrative support. Key responsibilities include:

• Handling inbound and outbound calls related to patient service needs.

• Scheduling procedures and consultations, including follow-ups with patients.

• Assisting patients in navigating the appropriate service lines based on their needs.

• Providing patients with procedure preparation instructions and addressing related inquiries.

• Coordinating with nurses and Providers to ensure smooth scheduling and communication.

• Updating patient records and managing appointment rescheduling as necessary.

This role requires the ability to remain composed under pressure during high-volume periods while maintaining excellent communication and organizational skills.

Required Skills & Experience:

• 2+ years of procedure scheduling experience in a medical office environment – clearly evidenced on a resume.

• Prior experience working within Epic software.

• Strong communication and multitasking abilities to manage patient interactions efficiently.

• Familiarity with medical terminology and procedure scheduling best practices.

Preferred Skills & Experience:

• Previous experience working in a call center environment within a healthcare setting.

• Ability to coordinate between multiple providers and service lines effectively.

• Strong attention to detail and organizational skills for record-keeping and scheduling adjustments.

• Experience supporting a cardiology team.
